Knowledge Systems
Your knowledge is scattered. Your answers don't have to be.
Your staff should not have to search several tools to find one answer. We map your documents, wikis, tickets and approved inboxes into one searchable AI knowledge base. You ask in plain English and get answers grounded in your own sources.
The procedure is in a shared drive. The exception is in a ticket. The explanation is in someone's inbox. Finding the right answer means knowing where to look and who to ask.
A search box alone does not fix old policies, conflicting documents or missing access rules. Those problems need attention before you put AI in front of your staff.
We build a knowledge system around the information you trust. Answers link back to source passages so you can check what they say.
One place to ask
We connect the sources you agree to include, then make their content searchable through a staff question-and-answer interface.
The system finds relevant passages before drafting an answer. This approach is called retrieval-augmented generation, or RAG. It uses your source material rather than relying only on the model's general knowledge.
- Documents and shared folders in Google Drive or SharePoint.
- Wikis and procedures in Notion or Confluence.
- Ticket archives and selected email folders.
- PDFs, Word files, FAQs and training materials.
- A staff web interface, with Slack or Teams access where agreed.
Start with your sources and real questions
We start by finding where your knowledge lives, who owns it and who may read it. You choose the initial sources and the questions the system needs to handle.
We test a limited scope before expanding it. That gives you a chance to check the answers, access rules and source quality before wider use.
- Review document formats, scanned files, duplicates and conflicting versions.
- Agree which content to include, exclude or correct.
- Connect sources, prepare searchable content and configure access.
- Test with real staff questions, including questions the sources cannot answer.
- Review failures, adjust retrieval and hand over the agreed system.
What you get
You get the connected knowledge base, the agreed staff interface and a documented update process. Source links let staff check answers against the original material.
We agree how often sources refresh and how failed updates are surfaced. Live connections depend on each tool's permissions and API support. Some sources may need scheduled imports instead.
- A source map showing what is included and who maintains it.
- Access rules tested against the agreed user roles.
- A test set and written findings on retrieval, answer accuracy and unresolved gaps.
- Setup and operating notes for your nominated owner.
- Staff guidance on asking questions, checking sources and reporting problems.
Sources matter more than confident wording
We configure retrieval so staff can search only the content they are allowed to read. We test those boundaries rather than assuming every connector preserves them.
You agree the hosting, model provider, storage and conversation retention before the build. We do not assume that all your inboxes or sensitive records belong in the system.
AI can still misread a passage or combine facts incorrectly. Citations help you check an answer. They do not guarantee it is right. Important answers need human review.
- The system should say when the available sources do not support an answer.
- Conflicting or outdated policies need a decision from your team.
- We do not turn private staff mailboxes into shared knowledge by default.
- The system does not replace professional judgement or approval processes.
For teams that keep answering the same questions
This is for independent businesses with useful knowledge spread across several tools. It can support onboarding, internal support, service procedures and policy questions.
You need someone who can approve sources and resolve gaps. If key knowledge exists only in people's heads, it needs to be written down first. We can scope that preparation separately.
Custom pricing for your scope
The price depends on scope. We review your sources, access needs and staff workflow before quoting.
Request a quote with the tools you use and a few questions your staff regularly ask. You receive a defined scope and a fixed price agreed before work starts.
Hosting, model usage and ongoing support are identified separately in the quote.
What moves the price:
- The number and type of source connections.
- Document volume, scanned files and cleanup needs.
- Access rules and sensitive-data handling.
- The staff interface and any workflow integrations.
- Refresh frequency, testing depth and ongoing maintenance.
Show us where your knowledge lives
Tell us which tools hold your documents, tickets and internal answers. Include a few questions your staff struggle to resolve. We'll use that to scope the work and prepare a quote.
